Who we are and what this notice covers
BetaSafe Information Services Limited (company number SC670106) is the controller responsible for the personal information described here. Contact us at privacy@betasafe.com about privacy, or to exercise your rights.
This notice covers website visitors and enquiries about our services. Customer service delivery, account administration, and billing are subject to additional customer privacy information and service terms supplied during application or onboarding. We may carry out credit checks when considering a service application; we will explain the relevant use of information and any credit reference agencies before a check takes place.
Information we collect
- Website requests: technical information such as your IP address, requested pages, request times, browser details and response or error information may appear in server logs.
- Enquiries: the name, organisation, email address, telephone number, and message you provide, together with our correspondence. For broadband availability or quotations, this may also include the premises address, postcode, current provider and service requirements.
Our contact form submits your details to infrastructure operated by BetaSafe. We use those details to handle your enquiry.
Enquiry details come from you or someone contacting us on your organisation’s behalf. You choose what to share, although we need enough contact information to reply and a premises address to check broadband availability. Please avoid sending sensitive personal information that is not needed for your enquiry.
Why we use this information
- Running and protecting the website: we use technical information to deliver pages, diagnose faults and investigate misuse. When online enquiries are enabled, we also use Google reCAPTCHA to protect the form against automated abuse. Our lawful basis is our legitimate interest in maintaining a secure, reliable website.
- Responding to enquiries and arranging quotations: we use contact and premises details to understand your needs, check availability with carriers and discuss suitable services. Our lawful basis is our legitimate interest in responding to business enquiries and providing relevant quotations. Where you are requesting a contract with us personally, including as a sole trader, we instead rely on taking steps at your request before entering into that contract.
- Meeting legal duties: where required, we use information to comply with legal obligations, including handling data protection requests.
Cookies, marketing and calls
We do not use analytics or advertising tracking. We do not send marketing emails or record telephone calls. We do not make solely automated decisions with legal or similarly significant effects about website visitors or their enquiries.
When online enquiries are enabled, submitting the form loads Google reCAPTCHA v3. It assesses technical and interaction information, such as your IP address and browser or device details, to detect automated abuse. Google uses a security cookie for this check. We use the resulting score to decide whether to accept a submission. If verification fails, you can still contact us by email or telephone. reCAPTCHA is not loaded during ordinary browsing or before you submit the form.
This processing is subject to Google’s Privacy Policy and Terms of Service.
Who receives information
We host the website ourselves on a UK-based virtual private server. Our hosting supplier provides the underlying infrastructure. Google Workspace provides our email service and processes enquiry emails on our behalf. Our contact form uses BetaSafe’s own infrastructure when enabled, with Google reCAPTCHA providing the abuse-prevention check.
For availability checks and quotations, we may share premises addresses and relevant customer or business contact details with telecommunications carriers and wholesale connectivity suppliers. We share only what is needed to assess availability and prepare a quotation. Where a carrier acts as an independent controller, its own privacy notice also applies; contact us for details of the carriers involved in your enquiry.
We may also disclose relevant information to professional advisers where necessary to establish or defend legal claims, or to public authorities where disclosure is legally required.
Processing outside the UK
Although our website server is in the UK, Google Workspace may process email information outside the UK, including in the United States. Google’s arrangements include the UK Extension to the EU–US Data Privacy Framework for covered transfers to Google LLC, and contractual safeguards where required for other transfers. You can read Google’s transfer arrangements and data processing terms, or contact us for more information about the safeguards applicable to your information.
reCAPTCHA information may also be processed outside the UK. Google describes the safeguards for that processing, including the UK Extension to the EU–US Data Privacy Framework and contractual safeguards where applicable, in its international data transfer information.
How long we keep information
- Routine website access and error logs: up to 30 days.
- Enquiries that do not become customer accounts: up to 12 months after the last substantive contact, then deleted.
- Backups controlled by BetaSafe: a rolling 30-day cycle. Deleted information may remain in these backups until they expire.
Google Workspace’s provider-managed recovery and deletion processes operate on separate schedules. Its data processing terms allow up to 180 days to remove data from its systems after it becomes irrecoverable to us, unless retention is required by law. Our 30-day backup period does not apply to those copies.
The website API does not store enquiry messages or reCAPTCHA tokens in a database or application logs. Accepted enquiries are sent to our email inbox, where the enquiry retention period applies. Google’s own privacy information explains its retention of reCAPTCHA data.
We may retain specific records for longer where needed for a documented security incident, legal obligation or dispute. We limit this to relevant information and keep it only as long as the reason requires. If an enquiry becomes a customer relationship, the relevant records move into our customer records and the retention arrangements explained in our additional customer privacy information apply.
Your right to object
You can object to processing based on legitimate interests for reasons relating to your particular situation. We will stop that processing unless we can demonstrate compelling legitimate grounds that override your interests and rights, or need the information for legal claims. Email privacy@betasafe.com to raise an objection.
Your other rights and complaints
You can ask for access to your personal information, correction of inaccurate information, deletion, or restriction of its use. You may also have a right to receive information in a portable format where the legal conditions apply. These rights depend on the circumstances and the lawful basis for processing. Contact our privacy email address to make a request; we may need to verify your identity before responding.
We welcome the opportunity to resolve concerns, but you can complain directly to the UK Information Commissioner’s Office at any time. Visit the ICO complaints page for details.
